Learn how to use temporary visibility settings to give basic users short-term access to additional records in your Broadstripes project.

Overview

Temporary visibility is a feature that allows project administrators to grant basic users temporary access to records they wouldn’t normally be able to see under the limited visibility settings. This is useful for specific campaigns, events, or time-limited organizing activities.

How Temporary Visibility Works

When temporary visibility is enabled:
  • Basic users can see additional records for the remainder of their login session
  • Access automatically expires after the set duration
  • Administrators can track temporary access grants
  • The feature works alongside regular limited visibility settings
Temporary vs. Limited VisibilityTemporary visibility is an extension of the limited visibility feature. You must have limited visibility enabled in your project before you can use temporary visibility settings.

Setting Up Temporary Visibility

  1. Navigate to Settings > Project Settings
  2. Go to General Settings
  3. Enable the Temporary Visibility feature undered the Limited visibility checkbox.

Granting Temporary Access

To grant temporary access to a basic user:
  1. Go to Settings > Project Members
  2. Find the user in the members list
  3. Click on their visibility settings
  4. Add temporary visibility rules with expiration dates
Access Expires AutomaticallyRemember that temporary visibility access will expire automatically after the specified time period. Users will lose access to the temporarily visible records without additional notification.

Managing Temporary Access

Administrators can:
  • View active temporary visibility grants
  • Extend or revoke temporary access before expiration
  • Set up automatic notifications for expiring access
  • Track usage of temporary visibility features
